ESS New Hire Instructions
Important: Complete the following steps within 20 days of your hire date.
Access Employee Self-Service (ESS)
- Log in to Employee Self-Service (ESS) using your network logon ID and password.
- Select the Life and Work Events (LWE) tab on the right side of the menu bar.
- Click New Hire Instructions.
Step 1: Review Health Plan Information
Review the following information:
- Health plan details
- Dependent coverage rates
- Available benefit options
Carefully read the Plan Information and Dependent Rates provided in ESS.
Step 2: Review Dependent Eligibility Requirements
- Open the Dependent Eligibility Requirements section.
- Review the eligibility rules to determine which family members qualify as dependents.
Step 3: Review Required Documents
- Open the Required Documents Chart.
- Review documentation required to verify dependent eligibility.
Examples include:
- Birth certificates
- Marriage certificates
- Adoption paperwork
Step 4: Add Family Members or Dependents
All dependents must be entered before completing Step 5.
Add a Dependent
- Select Family Members / Dependents.
- Scroll to the bottom of the page.
- Choose the appropriate relationship button such as:
- New Spouse
- Child
- Sibling
- Parent
- Other
Enter the family member’s information.
Required information for spouse and children:
- Birthdate
- Social Security Number
- Select Review.
- Select Save.
Step 5: Benefit Enrollment
Select the Benefits Election link to enroll in or update your benefits.
Select a Plan
- Start with the Dental Health Plan.
- Select the radio button next to the plan.
- Click Edit Plan.
Choose a Dependent Option
Select one of the following coverage levels:
- Employee Only
- Employee + Family
- Employee + Spouse
- Employee + Child(ren)
- Employee + Domestic Partner
- Click Select Dependents.
- Check the box for each dependent who will be covered.
- Click Add Plan to Selection.
Repeat this process for each plan type:
- Dental
- Medical
- Vision
- Life Insurance
The dependent option must be the same for all plans, and the same dependents must be selected for each plan. Otherwise, you will not be able to complete the certification step.
Life Insurance Beneficiaries
- Select Edit next to the Life Insurance plan.
- Choose the same dependent coverage option.
- Click List of Beneficiaries.
You will see the dependents entered in Step 4.
For each beneficiary:
- Enter the percentage amount next to their name.
Important rules:
- Percentages must be whole numbers.
- The total must equal 100%.
Click Add Plan to Selection.
Health Savings Account (HSA) Contributions
To contribute to a Health Savings Account (HSA):
- Click Edit Plan next to the HSA option.
- Enter the dollar amount you wish to contribute.
- Click Add Plan to Selection.
Updating HSA Contributions Later
You can change your HSA contribution at any time:
- Log in to ESS.
- Select the Payroll/Benefits tab.
- Choose HSA Contribution Change.
Step 6: Review Benefit Elections
- Click the Participation Overview link.
- Review all selected benefit plans.
- Click Certify.
A confirmation message will appear indicating your plan selections have been saved.
Log Out of ESS
- Close the browser tab or window using the X in the top corner.
- Return to the ESS page.
- Log off your session.
